POLICIES
INITIAL PAYMENT REQUIREMENT
INITIAL PAYMENT: TO BEGIN ANY PROJECT, A NON-REFUNDABLE INITIAL PAYMENT EQUIVALENT TO 50% OF THE TOTAL PROJECT COST IS REQUIRED. THIS PAYMENT COVERS THE FOLLOWING ESSENTIAL ASPECTS OF PRE-PRODUCTION:
LOCATION SCOUTING: RESEARCH AND EVALUATION OF SUITABLE FILMING LOCATIONS.
CLIENT MEETINGS: INCLUDES CREATIVE PLANNING, CONCEPT REVIEWS, AND ALIGNMENT ON THE PROJECT’S VISION.
TEAM MEETINGS: COORDINATION CLIENT AND PRODUCTION TEAM MEMBERS.
TEAM ASSEMBLY: ORGANIZING AND CONFIRMING THE AVAILABILITY OF ALL PERSONNEL NEEDED FOR PRODUCTION, INCLUDING SCHEDULE NEGOTIATIONS AND SECURING DATES FOR EACH CREW MEMBER (CAMERA OPERATORS, DIRECTORS, ASSISTANTS, ETC.).
DATE BLOCKING: RESERVATION OF FILMING DATES AND ENSURING AVAILABILITY OF TECHNICAL AND HUMAN RESOURCES.
SCRIPT DEVELOPMENT: CRAFTING A SCRIPT ACCORDING TO THE CLIENT’S NEEDS.
CREATION OF STORYBOARD AND MOOD BOARD: VISUAL AND AESTHETIC PLANNING OF THE PROJECT.
WORK CONDITIONS: NO MEMBER OF THE RECLIGHT TEAM WILL BEGIN WORKING ON THE SCRIPT, STORYBOARD, STORYLINE, MOOD BOARD, OR ANY OTHER PRE-PRODUCTION PHASE UNTIL THE INITIAL 50% PAYMENT IS RECEIVED. OUR TEAM IS AUTHORIZED TO REFRAIN FROM PERFORMING ANY TASKS RELATED TO THE PROJECT IF THIS REQUIREMENT IS NOT MET.
CHANGES AND FILMING DATES
DATE CHANGES: IF THE CLIENT WISHES TO MODIFY PREVIOUSLY AGREED-UPON FILMING DATES, THEY MUST NOTIFY RECLIGHT AT LEAST 10 DAYS IN ADVANCE. ANY CHANGES WITHIN THIS TIMEFRAME MAY INCUR ADDITIONAL CHARGES DUE TO STAFF AND EQUIPMENT RESERVATIONS.
EARLY SHOOTS: IF A COMPONENT OF THE PROJECT, SUCH AS THE USE OF SPECIALIZED EQUIPMENT, NEEDS TO BE MOVED UP DUE TO AVAILABILITY ISSUES, THE CLIENT MUST APPROVE AND PAY FOR THAT WORK IN ADVANCE.
CANCELLATIONS AND REFUNDS
CANCELLATIONS: IF THE CLIENT DECIDES TO CANCEL THE PROJECT AFTER ANY PRODUCTION PHASE HAS STARTED, THE INITIAL PAYMENT WILL NOT BE REFUNDED. ADDITIONALLY, THE CLIENT WILL BE REQUIRED TO COVER ANY COSTS RELATED TO THE TIME AND RESOURCES ALREADY INVESTED.
NO-SHOW OR LATE CANCELLATION: IF THE CLIENT CANCELS THE SHOOT WITH LESS THAN 5 DAYS’ NOTICE OR DECIDES NOT TO PROCEED WITH THE PROJECT ON THE AGREED-UPON DATES, THEY WILL BE CHARGED AN ADDITIONAL 25% OF THE TOTAL PROJECT COST, ON TOP OF THE INITIAL PAYMENT.
DELIVERY OF MATERIAL
MATERIAL DELIVERY: NO MATERIAL (RECORDINGS, PHOTOS, VIDEOS, OR ANY FILES) WILL BE DELIVERED TO THE CLIENT UNTIL FULL PAYMENT FOR THE PROJECT IS RECEIVED.
RIGHTS TO MATERIAL: RECLIGHT RETAINS ALL RIGHTS TO THE RECORDED MATERIAL UNTIL FULL PAYMENT IS MADE. IF THE CLIENT FAILS TO MAKE PAYMENTS, NO CONTENT WILL BE DELIVERED, NOR WILL THEY HAVE THE RIGHT TO USE IT.
LATE PAYMENT PENALTY: IF RECLIGHT DELIVERS THE MATERIAL AND THE CLIENT FAILS TO PAY THE REMAINING BALANCE, A DAILY PENALTY OF 2% OF THE OUTSTANDING AMOUNT WILL BE APPLIED FOR EACH DAY OF DELAY UNTIL FULL PAYMENT IS MADE.
PARTIAL SERVICES
PAYMENT FOR INDIVIDUAL SERVICES: IF THE CLIENT REQUESTS ONLY PART OF THE ORIGINAL PROJECT (SUCH AS A SINGLE VIDEO OR RECORDING), THE COST WILL BE CALCULATED BASED ON THE DAYS WORKED, THE EQUIPMENT USED, AND THE PERSONNEL INVOLVED. PARTIAL SERVICES WILL NOT BE DELIVERED IF THE PAYMENT DOES NOT COVER THE PROPORTIONAL COST OF THE WORK COMPLETED.
ADDITIONAL COSTS FOR CANCELLATIONS OR CHANGES
UNFORESEEN EXPENSES: IF THE PROJECT CANCELLATION IMPACTS RECLIGHT’S TEAM AVAILABILITY (SUCH AS DATE RESERVATIONS OR HIRING OF EXTERNAL PERSONNEL), THE CLIENT WILL BE RESPONSIBLE FOR COVERING ANY ADDITIONAL EXPENSES INCURRED DUE TO THE CANCELLATION OR CHANGE.
ACCEPTANCE OF THESE POLICIES
BY APPROVING ANY PROJECT WITH RECLIGHT, THE CLIENT AGREES TO ALL OF THE ABOVE POLICIES. THESE POLICIES ARE DESIGNED TO ENSURE A FAIR WORKING RELATIONSHIP AND TO PROTECT BOTH THE CLIENT’S AND THE PRODUCTION TEAM’S INTERESTS.
